Check which item and work the invoice describes. Separate quoted work from completed work.

Connect invoice and maintenance

  1. Link the service invoice to the firearm’s documents.
  2. Use the service date and provider name in a recognizable title.
  3. Record the completed maintenance entry with the known date and description.
  4. Record the relevant cost once, with a clear source.
  5. Review the dossier to confirm both entries describe the same item and work.

Read the history beside the original wording

The history should explain what happened, while the invoice preserves the provider’s original wording.

Avoid a duplicated service cost

If an invoice covers several services or items, note the allocation. A duplicated cost in two records can overstate your total.
